Transforming School Procurement:
Simplifying Purchasing for Education
with Box of Books

School procurement can be a challenging and time-consuming process, often leading to inefficiencies for administrators. To address this, Box of Books introduced the School Procurement Gateway (SPG), a powerful new tool designed to streamline and simplify the purchasing of educational materials and other essential products.

The SPG offers schools a comprehensive and easy-to-use platform, allowing them to manage and order everything they need in one place. This innovation not only saves time but also minimizes errors, helping schools focus more on educating students. With the SPG, Box of Books is making school procurement more efficient and aligned with the needs of today’s educational institutions.

  • Steamlined the purchasing process for schools, allowing them to manage purchases efficiently while maintaining control over budgets and expenses. Additionally, integrating existing systems ensures seamless data flow and reduces administrative overhead.

  • Enhanced Procurement Experience: Schools will benefit from a simplified and efficient procurement process, saving time and resources.

Improved Financial Management: The ability to set budgets, track expenses, and allocate costs to specific departments and expense codes enhances financial control and reporting.

Streamlined Approval Workflow: Automated approval workflows ensure timely processing of purchase requests, reducing delays and improving overall efficiency.

Vendor Management: Vendors can manage their product catalogues independently, reducing the burden on BoB and ensuring up-to-date product offerings.

Future Scalability: The design allows for expansion into new sectors and markets, ensuring long-term viability and growth.

  • Onboarding: Schools provide key data through an onboarding template, which is then reviewed and imported into the SPG by the BoB team.

User Setup & SSO: Users are created automatically through Single Sign-On (SSO) from the existing BoB platform. Different role types dictate permissions and capabilities within the SPG.

Purchase Workflow: Users select products, provide necessary details, and submit orders. Approval workflows are triggered based on predetermined criteria. Approved purchases are finalized, and invoices are generated and sent to designated recipients.

Reporting & Dashboards: Various reporting and dashboard features provide users, budget owners, and approvers with insights into purchasing activity, budget utilization, and transaction status.

  • The team adopted a user-centric approach, delving into complicated details of how schools and users interact with the procurement process. This emphasis ensured that the user experience remained at the forefront, guiding the development of innovative concepts to simplify purchasing for education.

Scalability & Flexibility: Design with future developments in mind to accommodate potential expansion into new markets and offerings without requiring significant rework.

Integration & Automation: Embrace automation and seamless integration with existing systems to optimize efficiency and reduce manual intervention.

Collaborative Partnership: Foster collaboration between BoB, schools, and vendors to ensure mutual success and ongoing improvement of the SPG platform.
